- Q: Who is the software administrator? Who maintains the software?
- A: Monday.com is a subscription-based software that is administered via the cloud. Nobody within Extension will ever need to make any sort of software update or management of features. The only software package management for Extension to do is selecting which subscription to buy. Different subscriptions include different sets of features.
- Q: How will the Project Manager use a software like Monday.com?
- A: The Project Manager uses a software like Monday.com to maintain team transparency about work items and status. The Project Manager will ensure that work items in the software are kept up-to-date with accurate details, status, and deadlines. The Project Manager will use the software to track velocity of work on projects, and ensure that deliverables are finished on time. Often, the Project Manager will hold 15-minute standup meetings that allow team members to verbally give status updates on specific work items that the Project Manager then records within the software.
- Q: How does a team find the balance point between documentation for transparency and creating a documentation burden?
- A: Each team member will have a different preference for the granularity of their documentation. Some people prefer to write down very specific sub-tasks and tasks in order to keep their work on track. Others might prefer to leave tasks in the templated form, which is more broad and would only need to be updated on a weekly or bi-weekly basis. The Project Manager will work with team members to find the balance that is right for the individual while still serving the needs of the management team.
- Q: Would using this software reduce the amount of time spent in internal meetings?
- A: Yes. With a well-maintained work management software, there is no need for regular status update meetings where people report out at length on their activities, blockers, etc. Instead of hour-long status meetings, the team can have 15-minute standup meetings that keep tasks in the boards up-to-date. This leaves team members free to focus on completing work items, rather than telling other people what they are doing and why. The ability to leave comments for each other within work items or assign tasks to other team members when those tasks are ready for them to review/complete can also help reduce the need for meetings.
